Updates to Conflict of Interest (COI) forms

On June 16, you will receive a request to complete our updated Conflict of Interest (COI) forms, which are due by End of Business (EOB) on June 30. We have refreshed this process to make it fairer, more transparent and easier to follow for everyone. Completing these forms is a required part of our shared commitment to keeping Regis a compliant and safe place to work.

What is Changing?

Broader IRS Reporting: We are expanding the group of team members who need to complete the retroactive form for past-year IRS 990 reporting.

Prospective Reporting: We are adding a new, prospective annual form to help you easily flag any potential conflicts before they arise.

Purpose: The purpose of these changes is to ensure that Regis captures a wider breadth of conflicts to aid in increased compliance, increase a sense of fairness in process, and increase transparency by requiring reporting that is broader than the minimum required by the IRS 990 reports.

A Quick Note for Regis College Faculty

Under your recent Regis College Handbook negotiations at 2.3.18, you are not required to disclose outside employment that does not conflict with your current role to your supervisor. However, the Regis College Handbook and Regis policy are explicit that outside employment must still be reported on these annual forms, even if you elect not to share with your direct supervisor on a timely basis. Failing to disclose external employment can lead to serious disciplinary action, up to and including termination.

Staying Compliant

Complete Both Forms: Filling out both forms accurately is mandatory for all requested employees.

Supervisor Updates: If a conflict does arise, the information will be shared with your supervisor, or the appropriate designee, so you can manage it together.

Honesty Matters: Submitting dishonest information or skipping the forms entirely can result in employment actions, up to and including termination.
