Promoting Campus Events
Your How-To Guide

 

Time iconPLAN AHEAD: Events pulled together at the last minute are exhausting and less effective. Planning two months or more in advance gives campus partners like the Marketing team ample time to promote events, resulting in higher event attendance. Gold stars to those who plan even further in advance!

Once you have a time, date and place, the Marketing team can help promote your event!
Please note: The Marketing team does not provide support for event registration or ticket sales. We can recommend tools and platforms, but you must manage registration/ticketing for your event.


EVENTS CALENDAR
Your event will be added automatically to the public Regis University Events Calendar, as long as it is created in 25Live and the POST TO PUBLIC EVENTS CALENDAR field is toggled to Yes. Visit the Regis Events Calendar page for How-Tos and FAQs.


DESIGNING PROMOTIONAL MATERIALS
Internal Events: Marketing funds the Marq design platform to speed the production of posters, flyers, brochures and other materials for internal, on-campus promotion. The template-based system puts the Regis brand right at your fingertips — it’s easy to use and includes the Regis logos, colors, fonts and even photos. Promote your event or department with confidence that your materials are elegant, effective and brand aligned. You need a sponsored email account to create a Marq account for your team, but it’s likely your department already has one. Visit one.regis.edu/marcom to learn more.

External Events: For external, institutional or high-priority events, complete the Main MarCom Request Form found at one.regis.edu/marcom to request bespoke promotional materials. The required lead time varies depending on our designers' workload.


DISTRIBUTING POSTERS
Take your printed posters to the Office of Housing and Residential Engagement in O’Connell Hall to have them stamped. Then, the Housing staff can distribute them or you can put up the stamped posters yourself. You will need 20 posters to cover the event bulletin boards on campus, and they will be left up for two weeks.


DIGITAL CHANNELS
Newsletters: There are several established email newsletters that will publicize events:

  • ReGist: This weekly newsletter is sent to all faculty and staff and is produced by the Communications team. Complete the Main MarCom Request Form found at one.regis.edu/marcom to get your event added to an upcoming ReGist.
  • Front Door: This monthly newsletter is sent to over 1,000 neighbors and is produced by Community Relations. Contact outreach@regis.edu.
  • Provost Proceedings: The Provost’s Office produces this newsletter for faculty and staff. Contact provost@regis.edu.
  • Student Affairs: The Dean of Students sends ad-hoc email communications to the student body about issues of community importance.

Ranger Central: Student-focused events are promoted primarily through Ranger Central, an app that provides interactive calendar services focused on student organizations and student events.

RUTV Network: There are TV screens across campus that can display rotating slides to promote departmental campus events. Complete the Main MarCom Request Form found at one.regis.edu/marcom to request an RUTV slide for your event. Please note that student-led events may not be promoted on RUTV.

Social Media: Marketing, Alumni Engagement and Athletics manage official social media accounts on Facebook, Twitter, Instagram and LinkedIn. To propose content for the Regis University flagship channels, complete the Main MarCom Request Form found at one.regis.edu/marcom.
